Pharma & Biotech

Our Pharmaceutical and Biotech Translation Expertise.

In pharma and biotech, translation can sometimes be left to the last minute, delaying timelines that are already stretched. We embed ourselves within the entire pharma and biotech lifecycle, anticipating your needs at each stage of the journey and helping you meet those all-important milestones and submission deadlines.

We know the importance of absolute accuracy when submitting to authorities like the EMA, FDA, and PMDA, as well as the industry-wide focus on patient centricity and diversity to reflect real-world populations. To support this, we have developed tools that automate manual processes like footer updates and file naming, while our in-country experts help you communicate with every patient in a way that resonates. We also help you stay on top of changes to local regulations and terminology.

Translation Process

Our Pharmaceutical and Biotech Translation Process.

Partnership is key at Conversis. That’s why every Conversis translation account is assigned a dedicated project team. They develop a deep understanding of the unique needs of each client and offer customized solutions to meet their specific language requirements.

When you’re ready to go ahead with a project, our project managers will discuss each brief with you. Depending on the content and purpose of the project, we may implement an AI-assisted process, or keep the workflow strictly human. Either way, the content will be finalized by the perfect linguists for the job.

Our translation management system allows us to search our entire linguist network for exactly the right resources, matching against categories such as domain expertise, language combination, and countries of origin and residence.

Our standard workflow for pharma & biotech projects can include some or all of the below phases:

1
Translation by linguist 1
2
Review by linguist 2
3
Second review by linguist 3, as required
4
Quality assurance by internal QA team
5
Client review
6
DTP & layout
7
In-situ review
8
Provision of ISO certificates

What our clients say about working with us.

The team was always approachable throughout the entire project and worked effectively so that we were able to meet our tight deadline. The linguist’s understanding of the biology and technical aspects of the project resulted in the production of a highly competent translated document. We can therefore only recommend their work.
Silke Fuchs, Regulatory Scientist at Target Malaria

Project Manager at Langland
I know some of the requests on these studies have not been typical and we have asked a lot of Conversis, but you really have stepped up and delivered. With your attention to detail, knowledge of the processes, diligence, and hard work to ensure the job gets done, you have made a significant impact on the work we are able to deliver here at IQVIA.
Shelby Terry, Senior Patient Recruitment Specialist at IQVIA

    FAQs.

How much do your pharmaceutical translation services cost?

We carry out analysis and create a quote for each new project, as costs vary depending on factors like language combination, content type, and service level.

For most projects, we will generate a translation memory (“TM”) using our translation technology, as well as maintaining a master TM per client. These masters are structured to allow access at a content type, study, sponsor, and order level. Every new project is analyzed against the TM to leverage previous translations and reduce costs over time.

If you have a project in mind, get in touch with any details you currently have, and we can create a quote for you.

How long does it take to have my material translated?
Turnaround times vary for each project, depending on volumes, complexity, and service level. A standard TAT for human translation is 2,000 words per day for translation and 1,000 words per hour for review. But, if you have a deadline you need to meet, we can almost always find a way to achieve it. So, if you do have a fixed deadline, let us know as soon as possible, and we’ll see what we can do.
What qualifications / certifications / accreditations does Conversis have?

Conversis has an established quality management system that underpins everything we do. We are certified to the international standards for quality (ISO 9001) and translation services (ISO 17100), as well as information security (ISO 27001). These accreditations evidence our commitment to delivering high-quality translations and ensuring the implementation of rigorous quality-management and information-security processes.

Do you offer pharmaceutical labeling translation services?

Yes, pharmaceutical labeling is just one component of the comprehensive pharma and biotech translation services we provide.

We deliver professionally localized labels that account for cultural and societal nuances, ensuring the content resonates accurately with each target audience. This distinction matters both for regulatory compliance, where authorities such as the FDA require market-specific language standards, and for commercial success, where clear and culturally appropriate labeling builds patient confidence.

What types of pharmaceutical documents do you translate?

We translate a wide range of materials across the drug development lifecycle, including:

    • Informed Consent Forms (ICFs)
    • Patient Reported Outcomes (PROs and ePROs)
    • Instructions for Use (IFUs)
    • Clinical study protocols
    • Regulatory submission documents
    • Pharmaceutical product labeling and packaging
    • And wider marketing materials
How do you maintain consistency across large or long-running projects?

We build and maintain project-specific glossaries and translation memories. These resources document approved terminology, preferred phrasing, and client-specific conventions to ensure consistency across every document, even as projects evolve over months or years and involve multiple translators or language teams.

Can you manage multiple languages simultaneously for global clinical trials?

Yes, we regularly coordinate large-scale multilingual projects involving 80+ language combinations running in parallel. Dedicated project managers oversee version control, approval workflows, and consistency across all languages, so that every market receives compliant, accurately-localized materials on the same timeline.

Do you use machine translation or AI in your pharmaceutical translation process?
We offer both strictly human and AI-assisted workflows, and we'll recommend the right approach based on your content type, regulatory sensitivity, languages, and timeline. Whichever workflow is used, all output is finalized and reviewed by qualified life sciences linguists. We never sacrifice accuracy for speed.
