Clinical Trial Translation Services

Conversis has been specializing in clinical research translations since 2003. This is work we have done every single day for 20+ years, so when we say we’re experts, we really mean it.

With an unrivaled team of life science linguists worldwide, we offer translation and language support across the clinical research lifecycle, from protocol development, through patient recruitment, to safety monitoring.

Unlike generalist translation agencies, all our processes, innovations, and quality management systems have been built specifically to meet the requirements of life sciences work, and we are constantly creating new tools and offerings to keep pace with the changes in clinical research.

Our Clinical Trial Translation Expertise.

We know that, when it comes to clinical trials, timelines are tight and every delay has an impact. That’s why we make translation a strategic part of the process – partnering with you early on to anticipate your needs and keep things moving smoothly through every stage.

We’re aware that submission deadlines can be ridiculously tight. That’s why we have tools to automate processes like naming and footers, and submission-specific workflows.

Recognizing the push for recruitment to reflect real-world populations, we have people on the ground in 110 countries translating into 330+ language combinations.

And we understand the importance of accurate data for patient safety, regardless of patient location. Our eCOA and pharmacovigilance services allow you to gather information about patient outcomes and effects globally so you can address them locally.

Translation Process

Our Clinical Trials Translation Process.

At Conversis, we build partnerships. That’s why every client is assigned a dedicated projects team. This team captures a deep understanding of your workflows, preferred communication channels, and goals.

When you’re ready to go ahead with a specific project, your team will discuss each brief with you and advise on the best approach to achieve your aims. Depending on our analysis, we may advise an AI-assisted workflow, or a strictly human one. In either case, the content will be finalized by our expert linguists.

The Conversis translation management system allows us to match your project with the perfect linguists, searching against categories like subject-matter expertise, language combination, and countries of origin and residence.

Our standard workflow for clinical research projects can include some or all of the below phases:

1
Translation by linguist 1
2
Review by linguist 2
3
Second review by linguist 3, as required
4
Quality assurance by internal QA team
5
Client review
6
DTP & layout
7
In-situ review
8
Provision of ISO certificates

The team was always approachable throughout the entire project and worked effectively so that we were able to meet our tight deadline. The linguist’s understanding of the biology and technical aspects of the project resulted in the production of a highly competent translated document. We can therefore only recommend their work.

    Clinical Trial Translations FAQs.

What is the clinical research translation process?

Each of our clients is matched with a Conversis project team. This team takes the time to learn about your business, workflows, and goals, and will also be the team that evaluates each new project. They will discuss briefs with you, advise on approach, provide quotes, and manage the projects once they go ahead. Depending on a given project’s content and purpose, they may advise an AI-assisted workflow, or a strictly human one. Either way, content will be finalized by our expert linguists. For more detailed information on human and AI workflows, please visit our Solutions page.

How much do your clinical research translation services cost?

We evaluate each new project and create a quote clearly outlining costs and timelines. Costs depend on factors like content type, language combinations, and service level. If you would like to understand costs for the type of work you do, please get in touch and we can produce a no-obligation quote for you.

How long does translation take for clinical trial documents?

We create a quote for each new project request, in which we include clear timeline details. Turnaround times (TATs) vary depending on a number of factors, including volumes, language combinations, content type or complexity, and service levels. To give you an idea, a standard TAT is around 2,000 words per day for translation and 1,000 words per hour for review. But we know how tricky clinical research timelines can be, especially when it comes to submission. So, if you have a hard deadline, please let us know as soon as possible. Even if it’s particularly tight, we can almost always find a way.

    What qualifications/certifications/accreditations do you have?
Conversis has an established quality management system that underpins every level of the business. We are ISO 9001, 17100, and 27001 certified – the international standards for quality management, translation best practice, and information security. These accreditations speak to our commitment to delivering secure, high-quality translations and implementing rigorous quality management processes.
What should I look for when looking to have my clinical research translated?

When searching for a translation partner for your clinical research materials, there are a number of things to look out for.

    • Qualifications & experience
Does your potential translation partner have experience in clinical research? Do they understand the sector, the challenges you are facing, and what you will need from them in terms of process and outcomes? Are their linguists specialists in clinical research, or generalist translators doing their best to understand your content?
    • Ability to do it all
Will your potential partner be able to cover the full range of materials and media you need to translate? Or will you need to go to multiple different partners, e.g., for services like voiceover or DTP?
    • Coverage & cultural expertise
If an average project contains e.g., 50 languages, will your translation partner be able to handle them all equally? Do they have people in those countries and communities with the relevant expertise?
    • Quality processes
Can you have confidence that your translation partner has all appropriate measures and checks in place to provide the quality you need? Do they have formal processes and certifications to prove it?
How do you ensure accurate translation of technical and clinical documents?

Unlike generalist agencies, who work with generalist linguists, Conversis only works with life sciences specialists. All our linguists go through a rigorous vetting and testing process before being added to our network.

We also follow a minimum one-step review process, meaning that – following translation – content is always reviewed by a second, independent linguist with the same qualifications as the translator. Where AI workflows are implemented, this is managed by sector experts and content is reviewed by our linguists.

After content is reviewed, it then goes through the Conversis QA process, where our internal team conducts further checks to ensure accuracy, consistency, and adherence to client specifications. We also use translation memory and glossaries to ensure consistency of language within and across projects.

    Let’s talk.
